Custom Form — Email Update & Mark As Completed Options

About This Idea

This feature proposal, shared by Stephen Owens in the Easy Projects Community forum, suggests expanding the options available for custom form records. The core request is to add an "Email Update" action to the Actions dropdown on custom form record pages, along with a "Mark As Completed" option.

Currently, when a custom form is submitted, the system can send an initial notification. However, there is no built-in way to send follow-up emails to the person who submitted the form after that initial creation event. The proposed feature would let team members send progress updates directly to the submitter without leaving the Easy Projects interface.

The idea was Marked As Answer on February 11 at 12:01 PM, indicating that the Easy Projects team acknowledged and responded to the suggestion.

For teams managing custom form submissions, keeping the person who originally submitted the form informed of progress is essential to maintaining trust and transparency. This community-driven proposal highlights a common gap in workflow automation: while initial submission notifications are straightforward, the ability to send meaningful follow-up updates directly to the submitter is often missing. Expanding the actions available on custom form record pages would empower project managers and team members to communicate status changes, request additional information, or confirm completion without leaving the platform. Such enhancements reduce reliance on external email threads and help consolidate project communication in one central location, making workflows smoother and more efficient for everyone involved.

Adding a “Mark As Completed” option alongside an email update action would further streamline the lifecycle of form-driven tasks. Team members could quickly close out records once work is finished, triggering an automatic notification to the submitter that their request has been resolved. This reduces the back-and-forth typically associated with manual follow-ups and ensures no request slips through the cracks. For organizations that rely heavily on intake forms for support tickets, service requests, or approvals, these small but meaningful workflow improvements can have a significant impact on responsiveness and overall project clarity, reinforcing the value of a well-structured project management environment.

How It Would Work

The proposal envisions two new capabilities for custom form records:

  • Email Update: An option in the Actions dropdown that opens a compose window, allowing a team member to send a follow-up email to the original form submitter. This keeps the submitter informed of progress without requiring manual workarounds.
  • Mark As Completed: A status flag that lets teams indicate when a custom form submission has been fully processed or resolved, improving workflow visibility.

These additions would build on the existing custom form notification framework, which currently handles only the initial submission alert. For details on configuring those initial notifications, see the Custom Form Email Notifications knowledge base article.
